Privacy Policy

Scribe Quest turns conversations you choose to capture into summaries, decisions and next steps. This policy explains what we collect, why, and what we never do with it. It applies to the Scribe Quest apps and to app.scribe-quest.com.
The short version. We store the conversations you record and the notes they produce, so you can come back to them. We do not sell your data, we do not use it for advertising, and we do not use your conversations or your Google data to train any AI model.
What we collect
Your account
Your name, email address and profile photo, from the sign-in method you choose. We use these to identify your workspace and to contact you about the service.
Conversations you capture
Transcripts, the notes you type, generated summaries and action items, the people you attach to a conversation, and tags. Audio recordings are stored only when you explicitly turn on “Save meeting audio” for that capture; otherwise audio is used to produce the transcript and then discarded.
People you add
Names, and optionally email addresses, phone numbers and photos, for the people you record conversations with. You control this list.
Google user data
App analytics and support reports
Firebase Analytics records app-instance identifiers, screen views, sessions and purchase events to help us understand app usage. It also derives approximate location from masked IP addresses. This is product analytics, not advertising; Scribe Quest does not request your device’s precise location for analytics.
If you report AI content or send feedback, we receive your report, account email and app version in our support systems. The AI content reporting form does not attach a recording or transcript automatically; including the selected generated text is optional.
Google Calendar data
Connecting Google Calendar is optional, and Scribe Quest works fully without it. If you connect it, we request only read access:
calendar.events.readonly— to read the events themselves, so that when you start a capture Scribe Quest can offer the meeting happening now and suggest who is in it.calendar.readonly— to read your list of calendars, so we can look beyond your primary one. Many people keep work and personal calendars side by side, and the meeting you are about to record is as likely to be on the second. We read only calendars you have switched on in Google Calendar; hidden ones are skipped.
We read the event title, start and end time, location and attendee list. We use them for one purpose: to pre-fill a capture with the meeting name and the people present, so you do not have to type it while a conversation is starting.
Scribe Quest never creates, edits, or deletes calendar events. We request read-only scopes, so the app is technically incapable of it.
Attendee email addresses are compared against the people already in your workspace so an existing person can be suggested. Attendees who are not already in your workspace are never added automatically — they are only offered for you to add.
Your Google authorisation tokens are held on our servers, never in the app, and are not readable by any client. Disconnecting Google Calendar in Settings deletes our copy and revokes the grant with Google.
Limited Use. Scribe Quest’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer or sell Google user data, we do not use it for advertising, and we do not use it to train generalised AI or machine-learning models. No human reads your Google Calendar data except where you explicitly ask us to help with a support issue, or where required by law.
How transcription and AI work
On-device transcription is free and stays on your device. Cloud transcription and AI summaries are a paid feature: when you use them, audio chunks and transcript text are sent to OpenAI purely to produce your result and are returned to you. Under our agreement with OpenAI, this content is not used to train their models.
What we never do
- Sell or rent your personal information.
- Use your conversations or Google data for advertising.
- Use your conversations or Google data to train AI models.
- Record anything you did not start.
Recording responsibly
Recording laws differ by country and state, and in many places every participant must consent. Scribe Quest only records when you start a capture, and asks you to confirm before saving audio. Getting the agreement of the people in the room is your responsibility.
Storage and security
Data is stored with Google Cloud Platform and Firebase, encrypted in transit and at rest. Access is restricted to your workspace by server-enforced security rules. Paid-feature credentials and Google tokens live in a secret manager, never in the app.
Keeping and deleting your data
We keep your conversations until you delete them or close your account. Settings → Privacy and data lets you delete notes, people, contact photos and saved audio selectively, or delete your account entirely. Deleting your account removes your conversations, notes and any stored Google authorisation.
You can also request account or data deletion without installing or signing in to the app.
Your rights
You can access, correct, export or delete your data. If you are in the EEA or UK, you also have the right to object to or restrict processing and to lodge a complaint with your supervisory authority. Email us and we will help.
Children
Scribe Quest is not intended for anyone under 16.
Changes
If we change this policy materially we will update the date above and tell you in the app before the change takes effect.
